Ordering for a party at short notice
Short-notice parties are normal rather than exceptional. The trick is knowing which decisions can be deferred and which ones determine everything else.
Decide the anchor first
Almost every party has one visual anchor: a garland behind a cake table, a cluster at an entrance, a wall of balloons for photographs. Deciding what that is takes two minutes and determines the whole order.
With limited time, one strong anchor beats decoration spread thinly around a room. A single good garland in the place where photographs will happen does more than the same number of balloons distributed everywhere.
What can be done in advance
Everything air-filled. Garlands, arches, columns and taped wall arrangements can be built a day or two ahead and will still look right. If there is a free evening before the event, that is when the building should happen.
Signage can be written in advance. Favour bags can be filled in advance. Tables can be laid in advance.
What genuinely cannot
Helium. A latex balloon filled with helium is reliably up for something like half a day to a day, so it is a day-of task and there is no way around it except sealant or foil.
Anything perishable, obviously. And chemical glow items, which start the moment they are bent and cannot be paused.
Ordering: what to prioritise
With limited time, order the structural items first — the balloons for the anchor piece, the decorating strip, the pump. Those are the things that cannot be improvised locally at short notice.
Tableware, napkins and generic favours are the easiest things to source late or substitute. Prioritise accordingly.
Build in a margin for failure
Ten per cent extra balloons is normal at any time and essential when there is no time to reorder. Balloons fail at inflation, and with a deadline there is no second delivery.
The same logic applies to batteries and to chalk pens: small items whose absence stops a task entirely.
A two-day plan
Two days before: order; decide the anchor; confirm you have a pump.
Day before: build the garland or arch; write signage; fill favour bags; lay tables.
Day of: hang the anchor piece; fill any helium balloons; put out favours; hold glow items until dusk.
